Get your own RefWorks account

Creating a new RefWorks database (=account) must be done within the AU-IP-range, afterwards you can access your RefWorks account from anywhere by using a special Groupcode (included in welcome-mail from RefWorks or request it from jk@statsbiblioteket.dk)

  1. Enter: http://www.refworks.com/Refworks/
  2. Click: "Sign up for an Individual Account"

Importing references

Direct Import

MLA (and many others)

Google Scholar

  • First time users: Preferences > Bibliography Manager > Show links to import citations into [RefWorks] + Save preferences. Every record will now have a "Import into RefWorks"-link.
  • Google Scholar imports only one reference at a time, it opens RefWorks in "Edit mode" so you have an opportunity to add text og modify content before final import

bibliotek.dk

  • First time use: Set-up: My bibliotek.dk > Settings > Request and Import > at the bottom of page: "If you use EndNote, Reference Manager or RefWorks you can export records from bibliotek.dk to these programmes" - Mark: "Yes please, I would like to be able to export to EndNote, Reference Manager or RefWorks" - and [Save settings]. Now every record in bibliotek.dk will contain a link to direct export to RefWorks (Details > Right-menu: Do you want to:).

If direct import doesn't work:

  1. Remove pop-up blocks or add to your browsers "trusted sites": *.refworks.com, *.csa.com, *.ebscohost.com etc.
  2. Clear browser cache / temporary internet files
  3. Try again a little later
  4. Clear RefWorks-cookie

Import through import filter:

An overview of most common file-formats in reference handling - used by many publishers websites allowing you to download references to papers or books.

bibliotek.dk

  • First time use: use Set-up as desribed above, all records collected in your Basket can now be exported as a single file.
  • Default file name: bib_dk_date_number.txt - either:
    • Open and copy/paste into RefWorks Import Window + Import filter: RIS - or:
    • Import downloaded text-file: + Import filter: RIS

Please note: right now pagenumbers are imported to the Notes-field. For multi-volume-works, volume numbers are also displaced during import.

Web of Science

  • Mark all relevant references and 'Submit' to 'Marked List'
  • In 'Marked List' select all relevant fields to download
  • 'Save to File', format: 'Field Tagged', default filename: savedrecs.txt
  • Import filter in RefWorks: ISI (Institute for Scientific Information)

Import from other hosts: choose format RIS, BibTex or just "Generic bibliographic management software" - will usually be RIS-format.

Direct search in library catalogs

RefWorks > Search > Online Catalog or Database : COPAC incl. British Library and 12 major british university libraries, Library of Congress, most american university libraries a.o.
If non a-z characters change character value during import, you should try the same search in the library's own search-engine and export the references in RIS-format, during import you may change the character encoding (probably to UTF-8)

RefGrabIt

A plug-in that works with your browser to capture bibliographic information from web pages giving you the option to import that data into your RefWorks account - get it here

RSS-feeds

You can obtain tables of contents for all new issues of any scientific journal through RSS-feeds. In RefWorks RSS-reader, all references will be converted into complete bibliographic descriptions suitable for importing: all or a few selected references


Making order: Folders and De-Duplication

All records imported in RefWorks end up in the References not in a folder, you can create any number of folders (so) and add any reference to as many folders as applicable. Folders are only needed for your own organizational needs, if you need to create a bibliography for a selected number of references, you can add them to the temporary MyList instead.

RefWorks > View > Duplicates > Close match will find all (possible) duplicate records and sort them in groups with the most recently added duplicate(s) marked for easy deletion. Before removing duplicates: check if the oldest (lowest ID) record is the most complete and make sure, that you haven't cited any of the candidates for deletion.


Inserting citations in manuscript

  • The easy way: xxx {{ID2}} xxx {{ID3; ID2}} xxxx, finding the ID-number is easy: Full view in RefWorks or create a bibliography using the output style: Citation List or References_plus_ID_sort- a Harvard-style list with ID-numbers
  • From RefWorks: choose format: One Line/Cite View, click Cite for every reference to be cited and copy the citation.

In both cases: Use RefWorks > Bibliography > Format Paper and Bibliography OR Format a Bibliography from a List of References = Standalone-bibliography. This procedure creates a Final-version of your manuscript, it is only for proofreading or publishing, all further edits must be performed in your original manuscript
Modifying references in text, e.g. adding pagenumbers, suppressing year a.m.o.

In WORD (only): Use plugin Write-N-Cite III - get it here - Add this link to: Windows > Start > All programs > RefWorks > WNC Proxy Configuration Utility:

All edits (adding page numbers, suppressing author names, removing a cited reference a.o.) must take place through WNC-III-Edit

WNC-III format your references on the fly, if it doesn't work: WNC-III > Tools > Revert to WNC v. 2 - check your references and reformat: WNC-III > Tools > Convert to WNC-III document or use the Bibliography module in the RefWorks-database to format your document.
All new output styles must be added to WNC-III through RefWorks > Bibliography > Output Style > Access Output Style Manager > Add to Favorites


Using RefWorks for collaborative work

Share the content through Read-only-password: RefWorks > Tools > Update User Information

Using RefShare: Refworks > Tools > Share References - set permissions for other users and obtain an URL for the folder/whole database.
RefShare may not be available forever

Use User Defined Fields for annotations, comments you want to share


Linking to documents from RefWorks-record

Every RefWorks record contain a SFX-link in the upper right corner, it will lead you to the publication itself, either the full-text e-article or a library catalog record for the printed document. If you wish to link to the document directly, you can use a DOI-link:

  1. URL for SB's proxyserver : http://ez.statsbiblioteket.dk:2048/login?url=
  2. Link to "DOI-resolver": http://dx.doi.org/
  3. DOI (=permanent URL) of document

- e.g.: http://ez.statsbiblioteket.dk:2048/login?url=http://dx.doi.org/10.1007/s11192-006-0126-9

You can not link to a pdf-file on your own C:, but it will work on another drive using this syntax: file://E:\reflinks\Nature_2004.pdf

Options:

  • Rename your pdf-file-collection according to e.g. RefWorks ID-numbers
  • Attach files to your RefWorks account, at the present time: 20 MB maximum pr. file, 200 MB total maximum storage pr. account
